Automatic matching

Also known as: bank matching, transfer matching, payment matching, auto-reconciliation

Definition

Software matching incoming bank transfers and EFTs to the right unit and debt using details such as the description, sender IBAN and amount.

With manual matching, the manager reads the bank statement line by line and records each transfer by guessing which unit it belongs to. Automatic matching does this with rules: the unit code in the description, a sender IBAN previously used for that unit, and agreement with the debt amount are assessed together.

A good matching system does not record a transaction it is unsure about on its own; it submits it for approval together with its reasoning. As the manager approves suggestions, the system learns, and in the following months fewer transactions need to be checked manually.

Example: A 2,000 TL transfer with “B blok 12” (Block B, No. 12) in its description, sent from an IBAN previously used for the same unit, is matched with the unit's open 2,000 TL dues debt and recorded as a collection.
