Create the meeting with its agenda, then prepare the call letters and a registered-mail list from the owners' postal addresses. Units, owners and land shares are already in CasaX. The meeting builds on them, so nobody counts attendance or votes by hand.
Call letter and mailing list
A printable call letter and a sample power of attorney for each owner, in their own language. One step sends owners an announcement and a notification and builds the registered-mail list; if an owner has no postal address, the unit address is used.
Attendance and proxies
Each unit is marked as present in person, by proxy or absent; the representative's name and the power of attorney file are recorded, with a warning if the proxy limit is exceeded. The attendance list prints with a signature column.
Live quorum
Attendance by count and by land share updates with every check-in, so you see at once whether the quorum is met under the first- or second-meeting rule.
Item-by-item voting
Each agenda item gets a decision rule. Yes, no and abstain votes are entered unit by unit or as totals; the result is calculated by count and land share, with the figures shown.
How an owners' meeting runs
You enter the dates, the agenda and the votes; CasaX counts, checks notice periods and quorums, and prepares the documents.
Step 1: Create the meeting
Ordinary, extraordinary (olağan or olağanüstü) or board meeting; date, venue and the date of the second meeting. Attach the operating budget, the complex's documents or files to agenda items.
Step 2: Send the call
Call letters, an announcement, a notification and the registered-mail list in one step. As you enter delivery dates, owners who did not receive the call in time are listed as warnings.
Step 3: Run the meeting
Keep the attendance list with proxies, watch the quorum and enter the votes for each agenda item.
Step 4: Put it on record
The minutes are prepared from the meeting data and the resolutions are numbered. Owners see the resolutions and minutes in the resident portal.
Resolutions numbered for the book and shown to owners
The minutes cover the quorum, the chair and secretary, each item's discussion summary, vote result and resolution text, signature lines and a field for dissenting reasons. Resolutions are numbered continuously across the complex; you print the resolution book export and copy it into your notarized resolution book (karar defteri), then upload the signed minutes to the meeting.

Does CasaX make the meeting legally valid?
No. CasaX helps you prepare and record the call, attendance, votes and resolutions, and it calculates notice periods and quorums and warns you. It is not legal advice, gives no opinion on whether a meeting or a resolution is valid and does not replace the notarized resolution book. Check notice periods and quorums against your management plan and consult a lawyer if needed.
How is the quorum calculated?
The number of units present and their total land share are compared with all units and the total land share of the complex. By default, the first meeting needs more than half by both count and land share; at the second meeting no attendance quorum is required and a simple majority becomes a majority of those present. The rules of the Condominium Law (KMK) come as presets, and you can change them to match your management plan.
How is attendance by proxy recorded?
On the attendance list the unit is marked as present by proxy, the representative's name is entered and the power of attorney file is attached. If one person represents more votes than the preset proxy limit, CasaX warns you but does not block the entry. Owners also receive a sample power of attorney with the call letter.
How are the call letter and mailing list prepared?
The agenda and the date and venue of the first and second meetings are filled into each owner's letter in their own language. The registered-mail list includes all owners and uses the postal address saved on the resident record, or the unit's address in the complex if there is none. You get the barcode from PTT (the Turkish postal service) and enter it yourself; CasaX does not connect to PTT, e-notification services or KEP.
Where do owners see the meeting, and can they vote in the app?
In the resident portal on the web, owners see the upcoming meeting's date, venue and agenda, their own call letter and the sample power of attorney, and the resolutions and minutes of past meetings. Votes are counted at the meeting and entered by the manager; CasaX does not offer online voting or e-signatures.
