From meter readings to charges by consumption

Keep water, hot water, electricity, natural gas and heat meters and heat cost allocators, for units, main meters and common areas, in one list. Open a reading round: your team enters each reading with a photo, AI suggests the index from the photo, and your team checks it and saves. Residents can submit their own readings if you allow it, or you import your reading company's file from Excel. Suspicious readings are flagged; consumption is billed by unit price or by splitting the bill, and becomes a draft charge batch in the finance module.

Meters are not read remotely (no M-Bus or LoRa). An index read from a photo is only a suggestion; it is never saved on its own, and a person always confirms the reading.

Every reading has a source, every amount has its math

Meters belong to a unit or a common area; who entered a reading, its photo, any corrections and how the amount was calculated stay on the same record.

  • Meter cards and replacements

Serial number, unit of measure, multiplier, seal number, initial reading and stamp or calibration expiry on one card. When a meter is replaced, that period's consumption is calculated correctly from both meters; meters nearing their stamp date trigger a reminder.

  • Reading rounds and photo reading

Meters to read are listed by block and unit, with the previous reading and the average of the last three periods. When a photo is added, "Read from photo" fills in the index as a suggestion; your team checks it and saves.

  • Wrong and suspicious readings

A reading lower than the previous one is not saved. Consumption far above the average and zero consumption in an occupied unit are flagged; the gap between a main meter and its sub-meters is calculated every period.

  • Charges by consumption

Multiply consumption by a unit price or split the bill by each unit's share of consumption; distribute a fixed or common share with one of your allocation methods. The result is a draft charge batch in the finance module.

How a reading round works

Every step from meter to charge stays on the same round's record, so you can trace which reading became which amount.

  1. Step 1: Set up your meters

Choose the type, the unit of measure and the unit or common area it belongs to; link sub-meters to a main meter.

  2. Step 2: Open a reading round

Your team enters readings with a photo, checks the suggestion from "Read from photo" and saves, or reads on site from a printed reading sheet. If resident submissions are on, residents submit theirs too; your reading company's file is imported from Excel.

  3. Step 3: Check the warnings

Compare suspicious readings with their photos. The photo in a resident submission is read in the background, and a different value is flagged in the approval queue. Approve or correct submissions, and see the warning summary when you close the round.

  4. Step 4: Create the draft charges

Enter the unit price or the bill amount, preview the amount per unit and create the draft; you publish it from the finance module.

Split the bill by consumption

Enter the bill amount; it is divided by each unit's share of consumption. If you want, set aside a fixed or common share and distribute it equally or by m², land share, coefficient or number of occupants; this share can be set according to the management plan and the owners' decisions (30% by default). The preview shows consumption and the variable and fixed parts for each unit, and the total matches the bill to the kuruş.

  • The same method covers central heating with heat cost allocators
  • Optional estimated readings for unread meters, from the average of past periods
  • The same round and meter type cannot be billed twice
  • Reading sheets print in Turkish, English or Russian; readings export to Excel and CSV

If you can't find the answer here, write to us.

How does reading from a photo work?

When a photo is added while entering a reading, submitting a resident reading or replacing a meter, "Read from photo" has AI read the index on mechanical, LCD, heat meter and heat cost allocator displays and fill it in as a suggestion. Warnings such as a reading below the previous one, a possible rollover, or a unit or serial number mismatch appear next to it; if it is not sure, it returns "unreadable" instead of guessing. A reading is always saved with the user's confirmation. The feature can be turned off in site settings and has a monthly reading limit.

Can residents submit their own readings?

Yes, if you turn it on in the meter settings and choose it when opening the reading round. While the round is open, an owner or tenant submits their unit's meter reading with a photo from the resident panel. The submission goes to your team: approved, approved with a correction, or rejected with a reason, in which case the resident is notified.

Which readings trigger a warning?

A reading lower than the previous one is not saved; if the meter rolled over it is saved with confirmation, and if it was replaced you record the replacement. Consumption above a multiple you set (3 by default) of the last three periods' average is flagged as high consumption, and no consumption in an occupied unit as zero consumption. A gap between a main meter and its sub-meters above 10% (adjustable) is flagged. Warnings do not block readings.

How is a bill split by consumption?

There are two ways. With a unit price, consumption is multiplied by a price per m³ or kWh, with an optional fixed fee per unit. With bill splitting, the total is divided by each unit's share of consumption, and an optional fixed or common share (a site setting, 30% by default) is distributed with the allocation method you choose. For heating costs, this share can be set according to the management plan and the owners' decisions; CasaX does not impose a legal ratio.

How are charges created, and what do residents see?

When you approve the preview, a draft charge batch is created in the finance module; publishing, resident notifications, collections and late fees follow the usual finance flow. Residents see their unit's meters and recent consumption in a chart, with a comparison to the complex average (you can turn it off). Owners and tenants also see the related balance lines; other units' data is never shown.
