Every vehicle in the complex, with who it belongs to
Keep the plate, make, color and unit in one list. Assign parking spaces to units permanently or as rentals, and prepare the monthly rental charges with one button. At the gate, typing the plate shows whose vehicle it is and whether it's allowed.
CasaX doesn't read plates itself: plate recognition uses the Access control module with a compatible camera. Registration, insurance and inspection tracking aren't included.
Vehicle, space and guest in one record
A resident's vehicle is linked to the unit and the unit to its parking space; when a tenant moves out, the vehicle ends automatically.
Vehicle register
Plate, make, model, color and type (car, motorcycle, commercial, electric). 34abc123, 34 ABC 123 and 34-ABC-123 are the same plate; foreign plates are saved with a flag. The vehicle limit per unit is a complex setting.
Parking spaces and assignments
Space code, floor and zone, covered or open, accessible and EV charging. A space is assigned to a unit permanently or rented monthly; the assignment history is kept.
Guest vehicles
The gate writes the plate on the visitor record, and residents pre-register their guest's plate in the app. If the time limit is exceeded, the gate team and the host are warned once.
Violations and repeat count
Wrong parking, unauthorized vehicles, blocked exits, with a photo and note. A registered plate links the unit automatically, residents can be notified, and the repeat count for the plate is kept.
From the list to the gate
Plates already on resident records move to the list automatically; you or the residents add the rest.
Step 1: Add the vehicles
Link a vehicle to a unit and resident, or enter it without a unit, like a security vehicle. Plates written on resident records are moved over, and the plate column in Excel resident imports keeps working.
Step 2: Let residents add their own
Owners and tenants add their vehicle in the app. Depending on the complex setting, it's added after manager approval or directly; the resident is notified of approval or rejection.
Step 3: Define and assign spaces
Create spaces one by one or in bulk (B1-001 … B1-040) and assign them to units. For rental spaces, see the month's charge suggestion and create a draft batch; the finance team reviews and posts it.
Step 4: Search by plate at the gate
The guard types the plate: whose vehicle, which unit, allowed or not, expected guest or not, how many violations. If it isn't registered, similar registered plates appear as suggestions.
Rental parking charges through your existing finance
The month's rental assignments produce a per-unit suggestion list. One button creates a draft batch in the existing charge system; the same month can't be created twice. If you like, a complex setting prepares it every month as a draft or posts it directly.
- A tenant's vehicle ends automatically at move-out
- Vehicles, parking spaces and violations export to Excel and CSV
- My vehicles in the resident app: vehicles, parking space, guest plates
- Retention period for plate and violation records (KVKK)
Features that work together
In CasaX every module shares the same ledger: work done in one shows up in the others on its own.
What happens to plates I wrote on resident records?
They move to the vehicle list automatically and are linked to the resident's unit; the same plate isn't created twice. The plate field on the resident record keeps working: a plate you add there appears in the list, and a plate you remove there is deactivated. The plate column in Excel resident imports comes in the same way.
What happens to a tenant's vehicle at move-out?
If the vehicle is linked to the resident, it stops counting as allowed as soon as the resident's occupancy of that unit ends, and a nightly job deactivates it. You can also give a vehicle an end date.
How is a rental fee charged to the resident?
CasaX doesn't collect the fee directly. The rental assignments produce the month's suggestion list, and with one button you create a draft batch in the existing charge system; once it's reviewed and posted on the finance screen, the units are charged. Rentals that start mid-month count as a full month, which you can adjust in the draft.
Who sees what?
Team members who can see the resident directory see the vehicle list; adding and editing vehicles needs resident editing permission. Parking spaces are defined by the common area manager; gate search, guest vehicles and violations are handled by gate staff. Residents see only their own unit's vehicles; owners and tenants add vehicles, household members only view them.
Is a plate personal data, and how long is it kept?
Yes, once it's linked to an owner. Deactivated vehicles and old violation records are permanently deleted after the retention period in the complex settings. Adding plate information to your privacy notice is the management's responsibility.
