Your complex's books, as vouchers in your accounting software
Charges, collections, refunds, expenses, income, transfers, company payments and collections, and cheque and note movements become double-entry journal vouchers. Map your chart of accounts once, then each month download only the new records as a Logo, Mikro, Luca or generic Excel/CSV file.
The export is file-based; CasaX does not connect to your accounting software directly. The formats follow common import templates, so check them with a test voucher in your software on the first export. Column names and order can be changed.
The vouchers your accountant expects
Every transaction produces balanced debit and credit lines, and in every voucher total debits equal total credits. Source records are left untouched, and which record went out in which export is kept.
Chart of accounts mapping
Charge, expense and income categories, cash, bank, virtual POS and cheque accounts, units (a sub-account from a template, e.g. 120.01.A.12 for A-12) and companies (supplier and customer accounts) are linked to the accounts in your software. Suggestions from the Turkish uniform chart of accounts (Tekdüzen) fill empty fields in one click.
Logo, Mikro, Luca and Excel/CSV
Journal voucher XML for Logo Tiger and Go (ISO-8859-9 or UTF-8), Excel or CSV for Mikro, the Excel voucher template for Luca, and a generic Excel/CSV with the columns you choose. Delimiter, decimal separator, date format and encoding are adjustable.
Preview before you export
Voucher and line counts, total debit and credit, a breakdown by type, unmapped items and the lines of the first vouchers. No file is produced while items are unmapped; if you prefer, those lines go to a suspense account.
Export batches and undo
Each export is kept with who ran it, when, for which period and with which records, and the file can be downloaded again. You are warned if a record is selected a second time. If you undo a batch you never loaded into your software, its records count as not exported again.
Export in four steps
After the first mapping, each month you only pick the period and download the file.
Step 1: Map your accounts
Apply the Tekdüzen suggestions, then compare them with the codes in your software and adjust. Save the mapping as an organization template and apply it to your other complexes.
Step 2: Choose the period and scope
Choose the date range, the record types (charges, collections, refunds, expenses, income, transfers, company payments and collections, opening balances) and your software's format. By default, only records not exported before are included.
Step 3: Preview
Check the debit and credit totals, unmapped items and the first vouchers.
Step 4: Download and import
Download the file and load it from your accounting software's voucher import screen. The batch record and the file stay in CasaX.
Cancellations and changes as reversing vouchers
A record cancelled before it was ever exported is skipped. If an exported record is cancelled later, the next export produces a reversing voucher dated on the cancellation; if its amount, date, account or category changes, a reversal of the old voucher and a new voucher come together. Reversals use the account codes that were sent to your software. Cheque and note movements are exported by the same rules, as collections, company payments and transfers; online payment refunds are separate vouchers.
- Voucher numbers come from the complex's counter with your prefix and number of digits; in Logo, the software can number them instead
- One voucher per record, or one voucher per type per day
- Optional VAT split: account 191 on the expense side, 391 on the income side
- By default, a late fee is exported once the principal is paid and its amount is final
- Residents' names are not written to vouchers; descriptions carry the unit code, period and document number
Features that work together
In CasaX every module shares the same ledger: work done in one shows up in the others on its own.
Which accounting software does it work with?
It produces journal voucher XML for Logo Tiger and Logo Go, Excel or CSV for Mikro and the Excel voucher template for Luca; for other software, use the generic Excel/CSV file with the columns, delimiter and date format you choose. The formats follow common import templates, and your version may expect different column names or fields. Check with a test voucher on the first export; column headings and order can be changed in the settings.
Does CasaX connect to my software directly?
No. The export is file-based: CasaX produces the vouchers as a file and you load it from your software's import screen. There is no import from your software back into CasaX, no foreign currency and no e-ledger (e-defter).
What happens to a record I cancel after exporting it?
The next export brings a reversing voucher dated on the cancellation; if the record was never exported, nothing is sent. For a record whose amount or date changes, a reversal of the old voucher and a new voucher are produced together. If you never loaded a batch into your software or deleted it there, undo the batch in CasaX: its records count as not exported again, and the file and batch record are kept for audit.
Can I export the same record twice by mistake?
By default, only records not exported before are selected. If you turn this off and select exported records again, the preview shows how many were already sent and the export asks for your explicit confirmation.
Who can use it?
Preview and export are open to team members who can view finances (owner, admin, manager, accountant, auditor); mapping the chart of accounts requires finance write permission, and undoing a batch requires reversal permission. Staff and residents do not see this section. Every mapping change, export and undo is written to the activity log. Exports are made in the web panel.
