Never miss a contract's notice deadline

Keep lift maintenance, security and cleaning contracts, building and common area insurance policies, the shops, mobile mast sites and advertising spaces the complex leases out, and utility subscriptions in one list. As the end date or notice deadline approaches, the responsible person is reminded; lease income is posted to the company account as a receivable every period.

For tracking only; this is not legal advice. You enter the notice period and the increase rate; CasaX calculates the dates and reminds you, and does not send termination notices to the other party.

Dates, amounts and versions in one record

Every contract is linked to the counterparty's company account; the signed PDF, policy and annexes, the annual increase and the renewal history are on the same page.

  • Contracts and policies

An SZL- code, type (service, insurance policy, lease, subscription), counterparty, start and end dates, auto-renewal, notice period, amount, payment frequency, VAT rate and the person responsible. Policies add the policy number, insurer, coverage and premium.

  • End date and notice reminders

For the end date and the termination notice deadline, a notification goes out the number of days you set in advance (30 by default) and on the day. A contract nearing its end moves to the "expiring" tab automatically.

  • Renewals and annual increases

A renewal does not change the old record; it opens a linked new version. A fixed percentage increase is applied automatically on renewal; for index-linked increases you enter the rate and preview the new amount.

  • Lease receivables and spend

An income contract can post a receivable including VAT to the company account every period. For expense contracts, actual spend, the amount expected to date and the contract value are shown side by side.

The life of a contract

Every step from entry to renewal is in the contract's history, showing who did what and when.

  1. Step 1: Record it

Enter the type, counterparty, dates, amount and payment frequency, and attach the signed contract or policy. You can also start a new contract from the company account page.

  2. Step 2: Make it active

The list shows each contract's end date, notice deadline and days left. For an income contract you can start a recurring receivable on the company account.

  3. Step 3: Get reminded

As a date approaches, the responsible team member is notified, or the finance team if no one is assigned. The calendar shows end dates and notice deadlines for the next 12 months, month by month.

  4. Step 4: Renew or terminate

On renewal the increase is applied and a new version opens. On termination you record the date and reason, and receivables from an income contract stop.

See your annual contract commitments

The annual commitment report gives, by type and direction, the number of active contracts, the annualized amount, the payment schedule total for the calendar year you choose and the commitment for the next 12 months. Amounts are entered excluding VAT with the VAT rate chosen separately; reports and comparisons use amounts including VAT.

  • Active, expiring, expired, terminated and draft tabs
  • Type and direction filters; search by code, title, policy number or company
  • The contract list and commitment report export to Excel and CSV

Frequently asked questions

If you can't find the answer here, write to us.

Which contracts can I track?

Services (lift maintenance, security, cleaning, landscaping, pool, generator, technical maintenance), insurance policies (building, common area, liability), spaces the complex leases out (shops, mobile mast sites, parking, advertising spaces), subscriptions (electricity, water, natural gas, internet) and others. Each contract is marked as expense or income; leases are income by default. Amounts are in TRY only.

How is the notice deadline calculated?

By subtracting the notice period you enter (in days) from the end date. For this deadline and for the end date, a notification goes out the number of days set in site settings in advance (30 by default) and on the day. CasaX does not impose statutory periods; notice periods and termination terms depend on your contract and the law. Delivering the termination notice properly to the other party (through a notary or registered mail, for example) is your responsibility.

How are annual increases applied?

A fixed percentage increase (25%, for example) is applied automatically on renewal. For index-linked increases CasaX does not fetch the index itself: you enter the rate at renewal and the new amount appears in the preview. If an index-linked contract renews automatically, it renews at the same amount with a "no increase rate entered" warning; once you enter the rate, the amount is updated.

How does lease income reach the company account?

If "create a recurring receivable on the company account" is selected on an income contract, a receivable including VAT is posted to the company's account every period on the payment day; the due date follows the company's payment terms, and payments are recorded on the company account screen. Receivables stop when the contract is terminated or expires, and a renewed version posts its own receivables at the increased amount; receivables already posted are not deleted.

Does an expense contract record the spending itself?

No. Invoices are entered on the expenses or purchasing screen as usual. The contract page adds up expenses posted to that company (and to the contract's expense category, if you chose one) during the contract period, and shows actual spend, the amount expected to date under the payment schedule and the contract value, with the latest expenses. Rent withholding tax and stamp duty are not calculated.
