Supplier invoices land in your inbox, then in your expenses
Connect to your private e-invoice integrator with the complex's tax number. E-invoices that suppliers issue to the complex arrive on their own; they are matched to a company account, their lines are split into expense categories and, once you approve, they are recorded as unpaid expenses. For income such as common area rent, a cell tower or advertising, you issue an e-Archive or e-Invoice and link it to the company account as a receivable.
You open the integrator account yourself; CasaX currently works with Uyumsoft, and there is a test integrator for trying it out. Your accountant (mali müşavir) decides which income should be invoiced.
No more collecting invoices from paper, email and portals
The incoming invoice, the company account and the expense meet in one record; the same invoice never becomes an expense twice.
Incoming inbox
Invoices are fetched from the integrator every 30 minutes and with the "Fetch now" button. Invoice number, supplier, scenario, amount and status in one list; the invoice view, the integrator's PDF and the UBL XML file are one click away.
To company account and expense
The supplier is matched to a company account by tax number; if there is none, a new account is suggested from the invoice details. Each line is mapped to an expense category, the amount is split by category and recorded as an unpaid expense.
No duplicates
If the same supplier's invoice with the same number was already entered by hand or through purchasing, no new expense is created; the invoice is linked to the existing record. A conversion can be undone with a reversing entry.
Issue e-Archive and e-Invoices
The integrator is asked whether the buyer is a registered e-Invoice user; VAT, exemptions and withholding are calculated on screen. After draft, approval and sending, the invoice shows as a receivable on the buyer's company account.
From the integrator to your books in four steps
You never retype an invoice: the integrator's data goes straight to the company account, the expense category and the books.
Step 1: Connect the integrator
Enter the provider, user name and password, and the complex's legal name, tax number, tax office and address; check them with "Test connection". The password is stored encrypted and only its last four characters are shown.
Step 2: Let invoices arrive
E-invoices that suppliers issue to the complex land in the inbox on their own, and the finance team is notified. Filter the list by status, pending responses and date.
Step 3: Turn them into expenses
Check the suggested company account and categories, then approve. The expense shows as a payable on the company account; the due date comes from the account's payment terms or the invoice's payment due date, and you pay from the company account screen.
Step 4: Issue an income invoice
For common area rent or advertising income, enter the buyer and the lines, approve and send. The invoice number is assigned on sending, an unpaid receivable is recorded on the buyer's company account, and the status is updated from the integrator.
Commercial invoices, the 8-day rule and management fees
You accept a commercial-scenario invoice, or reject it with a reason, through the integrator. The response period is 8 days from the invoice date; the list shows the days left, and the finance team gets one reminder when 2 days remain. A management company connects its own integrator account at the organization level and issues management fee invoices to the complexes it manages under its own tax number; if you wish, the invoice is also recorded in the complex's expenses.
- Invoice view with headings in Turkish, English or Russian
- UBL-TR 1.2 XML, the integrator's PDF and a timeline for issued invoices
- An e-Archive invoice is cancelled through the integrator, and its receivable is closed with a reversing entry
- A rejected invoice cannot be turned into an expense
- Invoices unrelated to the complex are set aside as "ignored"
Features that work together
In CasaX every module shares the same ledger: work done in one shows up in the others on its own.
Are dues invoiced?
No. Dues and shares of common expenses are not invoiced; collections are documented with receipts. CasaX does not produce e-Invoices or e-Archive invoices for dues, heating, fixture or late fee charges. Invoices are issued only for the complex's income other than dues (for example common area rent, a cell tower, advertising, parking) and for a management company's service fee.
Can our complex issue invoices?
Your accountant (mali müşavir) decides. Complex managements are usually not VAT taxpayers on their own; to issue invoices, the relevant tax registration at the tax office and e-Archive or e-Invoice registration with the Revenue Administration (GİB) are required. Your accountant also decides which income to invoice, the VAT rate and the exemption and withholding codes. CasaX is a tool, not tax advice.
Which integrators does it work with?
Uyumsoft for now. There is also a test integrator that sends no real invoices and produces sample incoming invoices, for trying things out. The complex or management company opens its integrator account directly with the integrator; CasaX does not open accounts. The user name and password are stored encrypted.
Can the same invoice become an expense twice?
No. If the same supplier's invoice with the same number was entered as an expense (by hand or through a purchasing invoice), conversion is blocked and you are offered to link it to the existing record. An e-invoice cannot be converted twice, and an expense can be linked to at most one e-invoice.
Until when can I reject a commercial invoice?
Within 8 days of the invoice date, from CasaX through the integrator. After that, it cannot be rejected through the system; objections go through other channels (for example a notary, registered e-mail (KEP) or GİB's e-Invoice cancellation and objection portal). If you have turned the invoice into an expense, undo the conversion before rejecting it.
Who sees what?
The team members who can view finance see the invoices; auditors can only view. Converting, accepting and rejecting, and issuing and sending invoices require finance write access; undoing a conversion and cancelling an invoice require reversal access. The owner and admins set up the integrator connection. Residents never see e-invoice data.
