Who is on which shift, who is on duty, who didn't show up

Your complex's doormen, security, cleaning and technical staff in one list. Build the weekly plan from shift templates and define patterns like "2 days on, 2 days off" once. Staff start and end their shift in the mobile app; the time comes from the server, and late arrivals and no-shows appear in the timesheet.

CasaX doesn't run payroll; wage details are for your records only and visible only to team members with finance access. Clock-in isn't verified by location.

Plan, alerts and timesheet in one place

The shift plan, leave and clock records are connected: staff on leave aren't counted as absent, and uncovered shifts show up in advance.

  • Staff card

Role (doorman, security, cleaning, technical, gardener), contact details, start and end date, documents (employment contract, social security forms, health report). Contractor staff are linked to the company's card in company accounts; a card can be linked to the staff member's CasaX account.

  • Shift plan and patterns

Morning, evening, night or 24-hour duty templates; overnight shifts like 22:00–06:00 are calculated correctly in the complex's time zone. Assign in the weekly grid, copy last week or set up a repeating pattern.

  • Warnings, not blocks

Warnings for overlapping shifts, short rest between shifts, long shifts, shifts on leave days and shifts below the minimum headcount. You set the thresholds.

  • Clock in from the app

Staff tap "Start shift" and "End shift"; the time is taken from the server, not the phone. Late arrival, early leave and no-show are calculated automatically; a manager's correction is recorded with its reason.

A week's plan

Define staff and shifts once; the plan comes from the pattern and you only handle the changes.

  1. Step 1: Add your staff

Create the card and enter the role and start date; if the staff member has a CasaX account, link it to the card.

  2. Step 2: Define shifts

Set up templates with start and end time, break and color; note on which days you need at least how many people.

  3. Step 3: Build the plan

Assign in the weekly grid or pick a pattern; a pattern creates shifts eight weeks ahead and extends itself every day. Enter leave and sick leave.

  4. Step 4: Clock-in and timesheet

Staff clock in and out from the app; if a shift has started without a clock-in, managers are notified. At month end, download the timesheet as Excel.

Monthly timesheet, day by day

The timesheet shows each staff member's planned and worked time, minutes late and minutes left early, absences and leave days side by side. Every manual correction is kept with who made it, when and why.

  • Staff summary, shift rows and a day-by-day timesheet grid in one Excel file
  • Excel and CSV; Turkish, English and Russian
  • Annual leave, sick leave, unpaid leave and excused absence records
  • An evening reminder to staff about the next day's shift

Frequently asked questions

If you can't find the answer here, write to us.

Does it calculate payroll or salaries?

No. CasaX keeps wage details only as a record (amount, monthly/daily/hourly, gross/net); it doesn't calculate social security contributions, tax, overtime pay, severance or notice pay, and it doesn't file payroll or social security forms. You can give the timesheet to the accountant who prepares payroll as an Excel file. Only team members with finance read access see wage fields.

Is clock-in verified by location?

No. The app doesn't ask for location permission and doesn't track location; the server records the clock-in time and the phone's clock isn't used. Staff can clock in up to two hours (adjustable) before the shift starts; unplanned work is recorded as "unscheduled".

Does every staff member need a CasaX account?

No. Staff without an account can be added too: their shifts are planned and a manager records their clock-in and clock-out. To see their own shifts and clock in from the app, the card is linked to a CasaX team member with the staff role.

Do the rest time and shift length checks guarantee legal compliance?

No. The default thresholds (11 hours between shifts, 12 hours for the longest shift) only produce warnings and don't block the record; you change them in the complex's settings. These checks aren't legal advice; check labor law and employment contracts separately.

Can a manager change clock-in and clock-out times?

Yes, a manager corrects a forgotten clock-in or clock-out. A reason is required for every correction; the old and new times, who made the correction and when are kept in the shift's history and the activity log.

Who gets notified?

Managers, if a shift has started without a clock-in (15 minutes later by default); staff with a shift the next day get an evening reminder (18:00 by default). Notifications are in-app and push, in the recipient's language; no "not started" alert is sent for staff on leave.
